Users (Workers, Technicians, Contractors)

You clock in, accept your safety attestation, work your assigned jobs, take photos, and complete the work. This section walks you through the everyday flow — sign-in to clock-out — and answers the questions you'll have on day one.

1. Your first sign-in

Activate your account

  1. Open the invite email from your company and click the activation link.
  2. Set a new password (the temporary one in the email cannot be reused).
  3. If your company enforces 2FA, you will be guided through enrolment.
  4. After sign-in, you may be offered biometric sign-in (Face ID / Touch ID / Windows Hello). You can enable or skip — change later in Settings → Two-Factor Authentication.

The dashboard

Your landing page shows: your clock-in card, today's assigned jobs, recent activity, and any unread notes. If a toolbox safety topic was published today, you'll be asked to acknowledge it before continuing.

Install on your phone

  • Go to Settings → Install the HinesTime App.
  • Follow the prompt on iPhone (Safari → Share → Add to Home Screen) or Android (Chrome → Install app).
  • The app works offline-tolerant for clock-in and the live timer.

2. Clock in / out

Daily clock-in

  1. Open HinesTime (the Clock-In card is at the top of your dashboard).
  2. Allow location access when prompted — your clock-in records GPS so the company has a verified attendance record.
  3. Tap Clock In. The live timer starts immediately.
  4. When you finish your shift, tap Clock Out (same card).

Worked late? You may have been auto-clocked-out.

If you forget to clock out and your shift exceeds the company's configured cap (usually 12 hours), the system auto-closes the session and flags it for supervisor review. Tell your supervisor so they can correct the hours if needed.

No signal? Your punch still counts (offline mode)

If your phone has no internet when you tap Clock In or Clock Out, the punch is saved on your device and you'll see a friendly "saved on this device" message instead of an error.

  • A floating amber pill — "N punches waiting to sync" — appears at the bottom of the screen while punches are queued. Tap it to sync immediately once you have signal.
  • Queued punches upload automatically the moment your connection returns — you don’t have to do anything.
  • Synced punches keep their ORIGINAL punch time, so your hours are exact. They’re flagged "Offline sync" for payroll so your admin knows why they arrived late.
  • This works on your phone, the /clock-in page, and kiosk tablets alike.

3. Starting a job — the safety attestation

Every time you press Start Job, you'll see a Safety Attestation dialog. This is a legal acknowledgment that you are safe to do the work. Read each item carefully before checking it.

What the dialog asks

The default checklist (your administrator may customise it) covers:

  • Fit for duty — capable of doing the work safely; you will notify the company if you are not.
  • Competent in the skills required to perform the job.
  • In good health.
  • Have the right PPE (personal protective equipment).
  • You have the right to refuse work if the worksite is unsafe or has unmitigated hazards.

How to attest

  1. Open the job you are starting (Jobs list → click the job card).
  2. Tap Start Job. The Safety Attestation dialog opens.
  3. Check every item that applies. The "I attest & start work" button is disabled until all are checked.
  4. Tap "I attest & start work". A timestamped record is attached to the job (visible to your supervisor).
  5. If you cannot safely do the work, tap "I'm not safe to work — cancel" and notify your supervisor immediately.

What happens after I attest?

A small 🛡 Safety: Your Name badge appears on the job card. Supervisors and admins see this badge at a glance — they know you've confirmed your fit-for-duty status. Resuming the same job after a pause does NOT re-prompt; your original attestation is the legal record for the whole job.

4. Working a job

Pause / resume

  • Hit Pause if you need to break or move to a different job.
  • When paused, you must enter a reason (lunch, parts run, weather, etc.) — this shows on the supervisor dashboard.
  • Resume from where you left off; the safety attestation is NOT re-prompted.

Photos & files

  • Use the Photos button on the job card to upload site photos before/during/after.
  • Photos are automatically compressed to ≤ 5 MB on upload — no need to resize first.
  • PDF and DOC attachments live on the Files tab inside the Job Detail dialog.

Notes & chat

Open the job (click anywhere on the job title), go to the Notes tab. Add updates, @mention teammates. Unread notes show a red badge on the job card.

Travel Time

The job carries a built-in Travel Time tracker for the time spent driving to the site, picking up parts, or heading back to the shop. It bills at the same rate as your labor by default (your admin can override per-customer at billing time).

  • Heading to site — tap before you get in the truck. Logs travel out.
  • Parts run — tap when you leave the site mid-job to pick up supplies.
  • Heading back to shop — tap after wrapping up so the return trip is logged.
  • Stop Travel — closes the open segment and adds the minutes to the job total.
  • Only ONE travel segment can be open at a time — stop the current one before starting another.

Off-site Start? You'll be prompted

If you tap Start outside the job's geofence — for example you stopped at the supplier first — the app will ask you for a quick reason (Picking up parts, Customer asked me to start early, etc.) and start Travel Time automatically. Once you arrive, your clock keeps running, just under On-site instead. No more locked-out Start buttons.

Taking a break

Need lunch or a coffee? Tap Taking a break on the job's Travel Time controls. Your on-site clock pauses while the break runs.

  • Tap Back to work when you return — the break minutes are logged separately from work hours.
  • If the job has a posted Site QR code, the button reads Back to work — Scan Site QR: scan the poster to prove you're back on site (there's a skip option if you can't scan).
  • Supervisors and payroll can see total break minutes per day, so everything stays transparent.

Site QR scanning (some jobs)

Some jobs have a QR code poster at the site. When you tap Start on one of these jobs, the app opens your camera — point it at the poster to verify you're physically there.

  • A successful scan marks your clock-in as location-verified and skips the GPS geofence check entirely.
  • Can't scan (poster missing, camera broken)? Tap Continue with GPS instead — you can still start, the entry is just flagged for review.
  • Not every job uses QR — your admin decides per job. If there's no prompt, just start normally.

Kiosk clock-in stations

Crews that work at one fixed location every day may use a wall-mounted kiosk tablet instead of their phones — perfect if phones aren't allowed on site.

  • Walk up, tap your name, and enter your personal 4-digit PIN to clock in. Same again to clock out.
  • Set or change your PIN yourself: profile menu (top-right) → My Kiosk PIN.
  • The kiosk may snap a quick camera photo at each punch — that’s the buddy-punching check your admin enabled.
  • Internet down? Punch anyway — the kiosk saves it on the device and syncs automatically when the connection returns (you'll see an amber banner).
  • The screen has an EN / ES / FR language toggle in the top corner.

Leading a squad? Clock them in together

If your supervisor made you a squad leader (crown icon), your My Day page shows an amber squad card — e.g. "Day Shift Squad · You lead this squad · 0/4 on the clock".

  • Tap Clock In Squad to punch every squad member in at once (members already on the clock are skipped).
  • Tap Clock Out Squad at the end of the shift — everyone's hours are saved individually for payroll.
  • Members get the usual clock-in notification so nobody is punched in without knowing.

5. Completing a job

  1. Open the job and tap Complete.
  2. If photos are required, upload them first (Camera button on the card).
  3. GPS is captured at completion for the same audit reason as clock-in.
  4. The job moves to Completed status. The customer is notified by email (if your admin enabled customer emails on completion).
  5. A green badge appears: ✅ Completed.

Customers can rate your work

If your company shared a Customer Portal link, the customer sees a 👍 / 👎 rating + optional comment after the job is completed. Their feedback appears on the job and lifts everyone's game.

6. Time off (vacation & sick)

Check your balances & request time off

  1. Sidebar → Time Off. Your card shows remaining vacation and sick hours for the year.
  2. Pick a type (Vacation / Sick / Unpaid), a start and end date, and the hours you’re requesting.
  3. Submit — your supervisor/admin gets a notification. You'll get a bell notification when it's approved or denied.
  4. Approved hours are deducted from your balance automatically. You can cancel a pending request any time from your history list.

Approved time off shows on the schedule

Once approved, your time off appears on the team schedule so nobody books you onto a job that day — and supervisors get a conflict warning if they try.

7. Your personal reports

Go to Reports → personal reports are filed under My Hours, My Jobs, and My Schedule. They're always scoped to just you. Export to CSV any time.
